Welcome to Grand Concierge Services. These Terms and Conditions (“Terms”) govern your access to our website and your use of the concierge, transportation, accommodation, lifestyle, security, travel, booking, and related services provided or arranged by Grand Concierge Services (“Grand Concierge”, “we”, “us”, or “our”).

By accessing our website, submitting an enquiry, accepting a quotation, making a booking, or using our services, you confirm that you have read, understood, and agreed to these Terms. If you do not agree with these Terms, you should not use our website or services.

1. About Our Services

Grand Concierge provides and arranges luxury concierge and lifestyle services, which may include:

  • Luxury transportation and chauffeur services;
  • Private aviation and travel arrangements;
  • Luxury accommodation and hospitality services;
  • Restaurant, event, and entertainment reservations;
  • Personal security and protection services;
  • Corporate and lifestyle concierge assistance;
  • Bespoke experiences and special requests;
  • Other related services agreed with the client.

Some services may be provided directly by us, while others may be arranged through independent third-party suppliers. The exact scope, availability, and price of each service will be confirmed separately.

2. Eligibility

You must be at least 18 years old and legally capable of entering into a binding agreement to make a booking or purchase our services.

If you make a booking on behalf of another individual, company, guest, or traveller, you confirm that you have the necessary authority and permission to accept these Terms on their behalf.

3. Enquiries and Quotations

An enquiry submitted through our website, email, telephone, messaging service, or any other communication channel does not automatically create a confirmed booking.

Quotations are based on the information and requirements provided at the time of the enquiry. Unless otherwise stated, a quotation:

  • Is subject to availability;
  • May be valid only for the period specified;
  • May exclude taxes, tolls, gratuities, or additional expenses;
  • May change if the booking requirements are modified;
  • Does not guarantee availability until the booking is confirmed.

Where no validity period is stated, prices and availability may be reviewed at any time before booking confirmation.

4. Booking Confirmation

A booking will be considered confirmed only when:

  • You have accepted the final quotation;
  • We have received all required booking information;
  • The required deposit or full payment has been successfully received;
  • We have issued a written booking confirmation.

You are responsible for reviewing the booking confirmation and notifying us immediately if any information is incorrect or incomplete.

5. Client Responsibilities

You agree to provide accurate, complete, and up-to-date information when requesting or booking a service. This may include:

  • Correct passenger and guest details;
  • Collection and destination addresses;
  • Travel dates, times, and itinerary information;
  • Valid contact and billing details;
  • Special requirements or accessibility needs;
  • Accurate luggage and passenger numbers;
  • Relevant identification or travel documents.

We are not responsible for delays, additional costs, or service disruption caused by inaccurate, incomplete, or late information provided by you or another person acting on your behalf.

6. Prices and Payments

All prices will be communicated in the currency specified in the relevant quotation or booking confirmation. Payment may be required in full or as a deposit before a service is confirmed.

Additional charges may apply for:

  • Waiting time or additional service hours;
  • Changes to routes, dates, times, or locations;
  • Additional passengers, guests, vehicles, or rooms;
  • Tolls, parking, airport fees, and congestion charges;
  • Damage, excessive cleaning, or misuse of property;
  • Special requests not included in the original quotation;
  • Supplier, currency exchange, or government-imposed charges.

You are responsible for any taxes, duties, bank charges, currency conversion fees, or similar charges applicable to your payment unless expressly included in the confirmed price.

7. Payment Authorisation

By providing payment information, you confirm that you are authorised to use the selected payment method and authorise us or our payment provider to process the applicable amount.

A booking may be suspended or cancelled if payment is declined, reversed, disputed, or not received by the specified deadline.

8. Changes to a Booking

Requests to change a confirmed booking must be submitted as early as possible. All changes are subject to availability and approval by us and any applicable third-party supplier.

A change may result in additional charges or a revised price. We will inform you of any material additional costs before processing the requested change wherever reasonably possible.

A significant change to the service, date, destination, passenger details, or booking requirements may be treated as a cancellation and a new booking.

9. Cancellations by the Client

Cancellation requests must be submitted in writing by email or through another approved communication method.

Cancellation charges will depend on the type of service, the notice provided, supplier terms, and costs already incurred. The applicable cancellation terms will be stated in your quotation or booking confirmation wherever possible.

Cancellation charges may include:

  • Non-refundable deposits;
  • Third-party supplier cancellation charges;
  • Administrative or booking costs already incurred;
  • The full booking amount for late cancellations or no-shows;
  • Other non-recoverable expenses incurred for your booking.

Any refund due will normally be returned to the original payment method, subject to applicable processing times, transaction fees, and supplier refund policies.

10. Cancellation or Changes by Us

We may change, suspend, or cancel a service where reasonably necessary due to safety concerns, supplier failure, legal requirements, operational issues, non-payment, inaccurate booking information, or circumstances outside our reasonable control.

Where possible, we will offer a reasonable alternative, reschedule the affected service, or provide an appropriate refund for the part of the service not delivered. Any remedy will be subject to the circumstances, the applicable supplier’s terms, and relevant law.

11. No-Shows and Delays

You are responsible for arriving at the agreed location at the confirmed time. If you are delayed, you should inform us as soon as possible.

Waiting-time charges may apply after any complimentary waiting period specified in the booking confirmation. If we cannot contact you or you fail to attend within the permitted waiting period, the booking may be treated as a no-show and may become non-refundable.

12. Transportation Services

For transportation bookings, you must provide accurate passenger, luggage, route, flight, train, and collection information.

Journey times are estimates and may be affected by traffic, weather, road closures, security restrictions, accidents, public events, or other circumstances outside our control.

Passengers must follow all reasonable safety instructions provided by the driver or service provider. Smoking, illegal activities, abusive behaviour, or conduct that may damage the vehicle or endanger others is prohibited.

13. Accommodation and Travel Services

Accommodation and travel services are subject to the policies and terms of the relevant hotel, property owner, airline, travel operator, or other supplier.

You are responsible for ensuring that you and your guests have valid passports, visas, insurance, health documents, permissions, and any other documentation required for travel or entry.

Unless expressly agreed in writing, we are not responsible for a traveller’s failure to obtain or carry the required documents.

14. Third-Party Suppliers

We may act as an intermediary when arranging services provided by independent third parties. Third-party services may be subject to the supplier’s own terms, privacy policy, cancellation policy, and eligibility requirements.

Although we take reasonable care when selecting suppliers, their services remain subject to their operational control. Nothing in these Terms excludes responsibility that cannot legally be excluded.

15. Client Conduct

You and all guests included in your booking must behave responsibly, lawfully, and respectfully towards our employees, representatives, suppliers, drivers, property owners, and other individuals.

We may refuse, suspend, or terminate a service without refund where a person:

  • Acts illegally, violently, abusively, or threateningly;
  • Creates a safety or security risk;
  • Damages or misuses a vehicle, property, or equipment;
  • Harasses staff, suppliers, or other customers;
  • Fails to follow reasonable safety instructions;
  • Uses our services for fraudulent or unlawful purposes.

You may be responsible for reasonable costs arising from damage, loss, excessive cleaning, penalties, or disruption caused by you or your guests.

16. Special Requests

We will make reasonable efforts to accommodate dietary, medical, accessibility, security, or other special requests. However, a special request is not guaranteed unless it is expressly confirmed in writing.

You should notify us of any relevant requirements before confirming the booking and provide sufficient information to help us assess whether the request can be fulfilled.

17. Website Use

You agree not to:

  • Use our website for illegal or fraudulent activities;
  • Submit false, misleading, or unauthorised information;
  • Attempt to gain unauthorised access to our systems;
  • Introduce viruses, malware, or harmful technology;
  • Copy or commercially exploit website content without permission;
  • Interfere with the operation or security of the website;
  • Impersonate another person or organisation.

We may restrict access to the website where misuse, fraud, or a security risk is reasonably suspected.

18. Intellectual Property

All website content, including text, graphics, branding, logos, images, videos, layout, design elements, and software, is owned by or licensed to Grand Concierge Services unless otherwise stated.

You may view and use the website for personal and non-commercial purposes. You must not reproduce, modify, distribute, publish, sell, or commercially exploit our content without prior written permission.

19. Website Information and Availability

We aim to keep our website accurate and available. However, website content may contain errors, become outdated, or be temporarily unavailable.

Images and descriptions are provided for general information and may not exactly represent the vehicle, property, venue, or service ultimately supplied. Confirmed booking details will take precedence over general website content.

20. Limitation of Liability

Nothing in these Terms excludes or limits liability where doing so would be prohibited by applicable law.

To the extent permitted by law, we will not be responsible for indirect or consequential losses, loss of profit, loss of business opportunity, or loss resulting from circumstances outside our reasonable control.

Any liability relating to a particular booking will be assessed according to the nature of the service, our role in providing or arranging it, the applicable supplier terms, and governing law.

21. Force Majeure

We will not be responsible for a delay, change, failure, or cancellation caused by events beyond our reasonable control. Such events may include:

  • Extreme weather or natural disasters;
  • War, terrorism, civil unrest, or security incidents;
  • Epidemics, pandemics, or public-health restrictions;
  • Government actions, border closures, or legal restrictions;
  • Strikes, transport disruption, or supplier failure;
  • Road closures, accidents, or major public events;
  • Power, telecommunications, or technology failures.

Where reasonably possible, we will assist in finding an alternative solution. Additional costs resulting from such circumstances may be payable by the client.

22. Complaints

If you are dissatisfied with a service, please notify us as soon as possible so that we have an opportunity to investigate and assist.

Complaints should include your name, booking reference, service date, relevant details, and any supporting evidence. We will aim to respond within a reasonable period.

23. Privacy and Personal Information

We process personal information in accordance with our Privacy Policy. By using our website or services, you acknowledge that information may be shared with relevant suppliers where necessary to fulfil your booking.

Please review our Privacy Policy for more information about how we collect, use, store, and protect personal information.

24. Changes to These Terms

We may update these Terms periodically to reflect changes in our services, business practices, or legal obligations. The latest version will be published on this page with the revised “Last updated” date.

The Terms in effect at the time a booking is confirmed will generally apply to that booking, unless a change is required by law or separately agreed with you.

25. Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable, the remaining provisions will continue to apply to the fullest extent permitted by law.

26. Governing Law and Jurisdiction

These Terms and any dispute arising from them will be governed by the laws of Switzerland.

Subject to any mandatory consumer rights, the courts of Geneva, Switzerland will have jurisdiction over disputes relating to these Terms or our services.
